USPS Prices Changed Again: How Mailbox Operators Should Review Forwarding Fees for 2026

September 21, 2026

USPS updates its rates. You update the postage charge. Done?

Not quite.

Your virtual mailbox forwarding fees should account for more than the shipping label. There’s also the packaging, preparation, and time your team spends getting each shipment out the door.

For coworking spaces, virtual office providers, and mail centers, the latest USPS changes are a good reason to ask: Does our forwarding price still cover the service we provide?

What changed with USPS prices in 2026?

Following its July 12 pricing update, USPS has finalized a seasonal adjustment starting October 4, 2026, and ending January 17, 2027.

The seasonal adjustment covers selected domestic package services: Priority Mail Express, Priority Mail, USPS Ground Advantage, and Parcel Select. It is not a blanket increase on every type of mail or international shipment.

Before changing your fees, check the applicable service, weight, dimensions, destination, and retail or commercial rate for the shipments your team handles. Use the final USPS schedule and confirm how your postage provider applies the adjustment.

Then look beyond postage.

1. Calculate what forwarding actually costs

Receiving a forwarding request is one thing. Finding the items, checking the instructions, packaging everything, and preparing the shipment is another.

Start with this calculation:

Forwarding cost = postage + packaging + staff time + other per-request costs

Here’s a hypothetical example—not a USPS quote or a PilotoMail fee:

Cost Example
Postage $8.00
Packaging $0.60
Staff time: $2.40
Other per-request costs $0.40
Total fulfillment cost $11.40

If you charge $8 for postage and $2 for handling, the request leaves $1.40 uncovered.

Your subscription may intentionally cover that difference. But it should be a pricing decision – not something you discover after processing dozens of requests.

Passing through higher postage won’t fix an existing handling-cost gap.

2. Review your mail handling fees - not just carrier rates

You don’t necessarily need to raise every price. You need to understand what each charge covers.

Charge postage separately? Confirm that you’re passing through the correct carrier cost, then review whether your handling fee covers the work you intend it to cover. Don’t add a seasonal postage adjustment twice if it is already included in the label price.

Include forwarding in a subscription? Check the allowance against actual usage. Be clear about whether it includes postage, handling, or both – and which shipment limits apply.

Offer one bundled forwarding price? Test it against different package sizes and destinations, rather than your easiest shipment.

PilotoMail’s Virtual Mailbox Pricing Guide separates subscription revenue from service fees, including forwarding handling charges plus shipping. Apply that distinction here: what does the plan cover, and what does the individual request cover?

4. A responsible AI strategy starts with the problem, not the tool

“USPS raised prices” isn’t enough of an explanation if you’re also changing your own service charge.

Keep the message specific:

Starting [date], postage for [affected services] will reflect the applicable carrier rate. Our handling fee will [remain at/change to] [amount], covering [included services]. Your plan’s forwarding allowance [remains unchanged/changes as explained here].

Review existing plan commitments before rollout. Make sure your website, staff instructions, and customer charges tell the same story.

And keep temporary postage changes separate from permanent handling-fee decisions. Set a reminder to reassess before the seasonal period ends.

Make forwarding work for your business

Your pricing should connect to the way your mailroom operates.

With PilotoMail’s Mail Hub, operators can manage forwarding requests, print shipping labels, and configure mail-handling pricing and tiered mailbox plans. Your team sets the pricing policy; the platform supports the workflow.

Start with a small sample of recent forwarding requests. Calculate the cost, compare it with what you collect, and identify what needs attention.

The goal isn’t to charge more for everything. It’s to stop guessing what forwarding costs.
